West Ealing Grants programme – Round 2 Deadline :Thursday 11 November 2021 :12Noon
The West Ealing Grants Programme is a three-year, £300K project, offering financial support to small charities, community organisations and resident groups that provide service in Ealing. These organisations will be able to apply for small grants of up to £5,000 to enhance the service they deliver to our customers in the local borough.
How to apply
Applications must be submitted via the Clarion Futures online grants portal (Flexi-Grant). Applicants are required to register on the system before starting an application form. https://clarionfutures.flexigrant.com/

About this event
As more people volunteer and causes become more popular, funding them has become a challenge. The pandemic has placed greater pressure on the community and voluntary sector, it has increased the needs of people at a time when budgets have become smaller.
Every project comes with a budget that requires fundraising, having the right tools, resources and technical knowledge is vital to aiding you on the journey to your financial target.
Taking place online via Zoom, this event has been designed to give the community and voluntary sector based in the London Borough of Ealing an overview on the benefits of accessing information on fundraising by using the Ealing4Fundraising portal. The Ealing4Fundraising portal was created to make it easy for organisations and community groups to identify funding, without having to wade through a mass of information much of which can be unconnected to their project.

Ealing & Hounslow Community Voluntary Sector will be co-hosting this event with Ealing CouncilÂ’s Community Engagement Team, and special guest Timothy Crampton of Idox, who will take you through the portal showing you how to connect to funders that are more likely to fund your projects.

Get involved in Charity Fraud Awareness Week, 18-22 October
Now in its sixth year, Fraud Awareness Week 2021 will encourage charities to keep their organisations safe from financial harm in the post-Covid era.
During the week youÂ’ll be able to access top tips and detailed advice on timely topics such as how to fight grant or fundraising fraud and managing cyber-attacks.
This year, you’re encouraged to sign up to a Stop Fraud Pledge and make a public commitment to tackling fraud in your charity. A whole host of charities have already taken the pledge – do consider joining them today.

Litter Picking at Chiswick House
You may be interested in join us for a big litter pick at Chiswick House and Gardens this Saturday 16th October. Please see details below:

Event description: Help us to keep the grounds looking beautiful for everyone to enjoy. Join our Chiswick House & Gardens litter pick on Saturday 16 October. ‘Pick for Chiswick’ will be our first community litter pick and sign washing. Bin bags, buckets and grabbers will be provided, but please help us reduce waste by bringing your own gardening gloves or marigolds if you can. After an hour and a half’s hard work, join us for tea, coffee and treats and learn more about our community of volunteers.
Walk ups and Register: Walk-ups will also be welcome on the day, but please try to register in advance so we have enough croissants to go around! After the litter pick is over, we are happy to offer all those that have helped out free access to the Kitchen Garden.

OVERALL PURPOSE OF THE JOB

PRINCIPAL RESPONSIBILITIES
The principle responsibility of the role of Receptionist is to ensure the front desk is covered at all times with a positive and friendly welcome to all and the area is compliant with Health and Safety at all times. Direct people as appropriate, answering any questions and queries to the best of your ability and seeking professional answers as required. Being proactive with new visitors, advising of our activities, services and available space for hire. There is a quantity of Excel work for recording and monitoring various aspects of our business.
Deal with all enquiries received by telephone including voicemail messages, email and in person. Ensure correct signposting to other organisations as required. All enquiries to be logged on the Electronic Log System. Monthly analysis to be performed on enquiries received.
Ensure all visitors are signed in to the building following all current regulations (currently involving Covid requirements). Visitors badges to be provided where necessary and relevant signing in sheets retained and monitored as required.
Monitor the Age UK Information Email account daily and deal/direct matters as required.
Deal with the receipt of initial Volunteering requests. Send for references ensuring Excel databases are kept up to date. Assist in the induction and training of all volunteer/administrative Receptionist volunteers in co-ordination with the Volunteer Co-Ordinator.
Record all activity attendance on excel attendance sheets, collect payments of cash/cheque/card and reconcile daily and produce monthly analysis reports. Quarterly reports are to be compiled and provided for the Age UK London Common Enquiry Code Report. Prepare all requirements for each activity (screens, mats, chairs, tables)
Organise bookings for Day Trips, IT Classes, Foot Care Service, Legal and other services as required. Each service/activity to be recorded on the relevant electronic appointment format and the holder of the service/activity to be advised of the details. Ensuring all payments are received, receipted and reconciled.
Varied Project work will involve contact with residents at the Southville Centre and by telephone. Obtaining information and recording as required by the individual project.
Issue all mailshots as directed recording details on relevant excel databases.
Checking details of invoices raised before distribution.
Responsible for Daily Front Desk Petty Cash Tin providing a weekly reconciliation.
Manage the Age UK Hounslow Membership Excel System from initial enquiries to recording fully paid up members, dealing with renewals on an annual basis and ensuring the system is fully up to date at all times.
Record and Maintain the Gift Aid Register
Ensure all notice boards and internal displays are kept up to date at all times.
Manage the Wheelchair Hire service retaining relevant records and chasing outstanding returns.
Maintain responsibility for Key Boxes in Reception area.
Order and maintain items for stationery stocks
Deal with other administrative tasks as directed by management but within the expectation of the role.
There is an expectation that you will perform all duties to the best of your ability promoting the organisation of Age UK Hounslow at every opportunity. Have a commitment to the needs of older people and be able to deal sensitively with members of the public. Prioritise workloads. Work flexibly within a small team of staff and volunteers. Use and act on own initiative. Work within the Age UK HounslowÂ’s Confidentiality Policy. Attend training as required for the purpose of fulfilling the tasks to the best of your ability.
